Public Assistance

Client Information Sample Reports

.
Public Assistance Management with Poor Pics from Data Systems, Inc. is a comprehensive Record Keeping Software that tracks Clients and their Dependents requesting Financial Assistance from your Township. The software builds a complete history file of the Client and all people living in the household, the Clients income and current and previous employment, Dependents income and current employment, each Encounter, Action taken, and Amount granted. A Voucher is printed at the time aid is granted and the files are updated. Workfare hours are automatically assigned based on the amount of aid granted and an hourly rate, and the Workfare notice is printed. A flag is then set alerting the Township of hours owed per Client.

Poor Pics is a picture-taking add-on. With this interface, images of the Client and Dependents are captured. The images are stored with the Clients record and are viewed at the Client screen.

Office Investigations and home visits are recorded and stored in extensive note fields by date. Additionally, Public Assistance interfaces with Microsoft Word. Any relevant information or accompanying documents can be typed or scanned and stored in a Word document.

Alerts flag Client Applications on files older than six months, Workfare assignments and Workfare owed, Fraud suspects, Investigations over 90 days, and important Case notes.

To better manage your Clients, Letters such as Referral, Employer information, Reimbursement authorization, Claim, Medical statements, General assistance and Relative assistance, and Bank statements are filled in and printed.

Daily Activity Reports by Encounters, Workfare and Hearings are produced. A pending list can be run at any time displaying all open Encounters. At month end the monthly operating report prints the Poor Relief Accounts Activity, compares current month to last year, shows year-to-date and compares year-to-date to Annual Budget. At year-end, PR-7 information is tallied and printed.

In addition to the above features, several levels of security can be set and a complete Audit Log is maintained.
